🎯The role:

NetSuite Integrator — ERP Implementation + Systems Integration + Business Automation.

This is a hands-on delivery role. You will build, configure, test, and maintain the integrations that make Webidoo’s architecture real. You will work closely with Finance, Operations, Legal, and Product teams to translate business requirements into working system flows — and you will be accountable for the quality and reliability of every integration you build.

NetSuite is the single system of record. Every tool, integration, and workflow in the business must connect to it.

💼Key Responsibilities:

1) NetSuite Configuration and Module Activation

• Configure and activate NetSuite modules across the program: financial management, budgeting and planning, forecasting, AP/AR, procurement and purchase orders, project costing, and multi-entity consolidation.

• Build and maintain the chart of accounts, cost-center structure, entity hierarchy, and project-level P&L model in NetSuite.

• Design and implement the QuickBooks to NetSuite connector: chart of accounts mapping, vendor and customer sync, and transaction bridge. Own the sandbox build, beta test with an acquired agency, and production go-live.

• Configure NetSuite workflows, saved searches, custom fields, and reports to meet Finance and Operations requirements.

• Build financial dashboards and operational reports in NetSuite and Looker Studio, in close collaboration with the Finance team.

• Provide hands-on support to Finance users during module activation — configuration corrections, training on saved searches and reports, and day-to-day NetSuite queries.

2) Systems Integration

• Design, build, and maintain all Make.com and N8N integration flows connecting NetSuite to the wider tool stack: HubSpot (CRM), Juro (CLM), Payhawk (spend management), the new HRIS platform, ClickUp (work management), and the three SaaS products (Jooice, Groow, Welpy).

• Define integration requirements for each connection: data objects, event triggers, sync frequency, directionality, and error handling logic.

• Build and test the HubSpot to NetSuite bidirectional sync: customer records, deal data, invoices, subscription revenue recognition, and deferred revenue.

• Build and test the Stripe to NetSuite subscription revenue integration: revenue recognition, invoice generation, and customer account sync.

• Replace the legacy Salesforce-dependent integration layer with a new flow built on HubSpot, Make.com, ClickUp, and NetSuite.

• Design retry logic, error alerting, and data reconciliation processes for all integration flows.

• Document every integration: data flow maps, field mappings, trigger conditions, and rollback procedures.

3) Data Quality and Governance

• Own data quality across all NetSuite-connected systems. When a record is wrong, find the source of the error and fix the flow, not just the record.

• Build and maintain audit trail governance for NetSuite and CLM, ensuring compliance with Italian regulatory requirements: SDI e-invoicing, PEC workflow, conservazione sostitutiva, and GDPR audit trails.

• Conduct regular data reconciliation checks across connected systems. Flag and resolve discrepancies proactively.

• Support the Outseta decommission: migrate customer records, billing data, and authentication flows to HubSpot, Stripe, and the new identity layer.

4) Testing, Go-Live, and Ongoing Support

• Own the technical testing process for every integration: unit testing, UAT coordination with business owners, and sign-off documentation.

• Manage go-live sequencing to avoid dependency collisions. Maintain rollback procedures for every production deployment.

• Be the first point of escalation for integration failures in production. Resolve within agreed SLAs.

• Maintain and improve integrations post-go-live as business requirements evolve. This is not a build-and-move-on role.

• Train and document for the Operations Automation team so that routine maintenance of established flows can be handed over over time.

🎓Requirements:

NetSuite — Essential

• 4+ years of hands-on NetSuite configuration experience (saved searches, custom fields, workflows, reports; strong understanding of the data model).

• Experience activating and configuring at minimum three of the following: financial management, budgeting and planning, procurement / PO, project costing, multi-entity consolidation, revenue recognition.

• Experience building or maintaining a NetSuite connector (QuickBooks, Salesforce, HubSpot, or equivalent) and resolving sync conflicts.

• NetSuite SuiteFoundation, Administrator, or SuiteAnalytics certification preferred (not required with strong practical track record).

• Experience with multi-entity, multi-currency NetSuite environments.

• Italian accounting standards (GAAP, SDI e-invoicing) is a significant differentiator.

Integration Platforms — Essential

• Hands-on experience building and maintaining workflows in Make.com, N8N, Zapier, Boomi, or equivalent middleware.

• Experience with REST APIs and webhooks: authentication, endpoint mapping, payload design, and error handling.

• Experience integrating at least two of the following: NetSuite, HubSpot, Salesforce, Stripe, Jira, HRIS platforms.

• Understanding of idempotency, retry logic, and designing for failure (not only the happy path).

Data and Reporting

• Comfortable building saved searches, custom reports, and dashboards in NetSuite.

• Experience with Looker Studio, Metabase, or comparable BI tools.

• Able to write basic SQL or use query tools to investigate data issues (not required to be a developer, but must be able to interrogate data independently).

Desirable Skills

• Experience with CLM platforms (Juro, Ironclad, Conga) and e-signature workflow configuration.

• Experience with HRIS platforms (HiBob, Rippling, Deel) and familiarity with multi-country payroll and EOR data models.

• Understanding of SaaS subscription billing and revenue recognition in NetSuite.

• Italian regulatory requirements: SDI e-invoicing, PEC certified email, conservazione sostitutiva, GDPR data governance.

• Experience migrating data between systems: exports, transformation, deduplication, import validation.

• Background in a SaaS company, digital media business, or post-acquisition integration environment.

At 30 days

• Full understanding of the current tool landscape, the integration architecture, and the programme milestones.

• QuickBooks to NetSuite connector technical design scoped and vendor selected.

• All integration requirements documented for the first four workstreams.

• Working relationship established with Finance, Operations, and the automation team.

At 90 days

• QuickBooks to NetSuite connector live in sandbox and in beta testing with an acquired agency.

• HubSpot to NetSuite bidirectional sync built and in testing.

• Payhawk AP workflow connected to NetSuite.

• First Finance functional dashboards live in NetSuite and Looker Studio.

• Italian compliance flows (SDI, PEC) configured and validated.

At 6 months

• QuickBooks to NetSuite connector in production. Agency onboarding integration playbook documented.

• All seven workstream integrations built, tested, and live.

• Make.com / N8N integration layer connecting at least three core systems in production.

• Stripe to NetSuite subscription revenue sync live across all three SaaS products.

• Full integration documentation library complete and handed to the Operations Automation team for ongoing maintenance.

• Zero data discrepancy incidents between NetSuite and connected systems in the final 30 days of the program.
