We are seeking a dedicated and organized Country Coordinator to join our Decentralized Operations team. This is a fully remote role open only to candidates based in Spain, Poland, Ukraine, Romania, or Bulgaria who have the legal right to work in one of these countries.
Your Mission
As a Country Coordinator, you will support and guide Homecare Providers (HCPs) and clinical trial sites to ensure smooth execution of homecare visits (HCVs). You will act as a key liaison between sites, HCPs, and internal stakeholders, ensuring clear communication, high‑quality documentation, and compliance with all study and regulatory requirements.
Your work enables patients to participate in clinical trials with reduced burden by bringing clinical support directly to their homes.
Key Responsibilities
Homecare Provider (HCP) Identification and Training
- Support internal database checks and selection of potential HCPs.
- Collaborate with HR to initiate recruitment, interviews, and contracting steps.
- Train and re‑train HCPs according to SOPs, study materials, and regulatory guidelines.
Site Contact and Training
- Serve as the main point of contact for investigator sites.
- Train sites on DCT services and processes to maximize participation.
- Maintain ongoing communication regarding eligible patients, visit planning, and study updates.
- Contribute to continuous improvement of site management and communication processes.
Homecare Visit Coordination
- Confirm homecare visits with sites and collect required Physician Order Forms (POFs).
- Ensure HCP availability and oversee planning of equipment and supply shipments.
- Coordinate courier services when needed for samples or investigational medicinal products (IMPs).
- Review source documents for accuracy and ensure timely submission to sites.
- Complete follow‑up tasks and review HCP timesheets for Project Manager approval.
Documentation
- Document all study-related activities within study‑specific systems (e.g., CTMS).
- Support development of study documentation and shipment content lists.
Internal and External Communication
- Maintain effective communication with clients, investigator sites, and HCPs.
- Participate in internal and client meetings as required.
- Escalate issues to Project Managers or Compliance leads when necessary.
Quality and Compliance
- Adhere to FutureMeds SOPs, WIs, client expectations, and study specifications.
- Contribute to quality oversight of homecare activities and source documents.
- Ensure documentation of performance indicators and issues in internal systems.
- Participate in CAPA processes and support continuous improvement initiatives.
What You Bring
- Educational background in nursing or life sciences (preferred).
- Excellent verbal and written communication skills.
- Strong attention to detail and organizational abilities.
- Ability to manage multiple priorities effectively.
- Proficiency with MS Office applications.
- Clinical trials or medical experience is an advantage.
- Understanding of GDPR, ICH‑GCP, IATA, and regulated environments.
- C1‑level proficiency in Spanish, German, and English (written and spoken).
